Invitation Letter Guidance
Genuine, honest invitation-letter drafting and checklist support for visitor and family visas.
An invitation letter is a supporting document written by a host abroad (a relative, friend or sponsor) inviting a guest to visit them. For many visitor and family visa applications it helps the visa officer understand the genuine purpose of the visit. Visa Connection helps you understand and prepare a correct, honest invitation letter and the documents that go with it.
What is an invitation letter?
It is a genuine letter from your host confirming who is inviting you, why, for how long, where you will stay and how the visit will be supported. It is a supporting document — not a guarantee of a visa.
When is it needed?
- Family or friend visit visas (visitor visas)
- Some tourist visas where a host is involved
- Situations where a sponsor supports the trip
Host details usually required
- Host’s full name and relationship to you
- Host’s status abroad (citizen, PR or valid visa)
- Host’s address and contact details
- Host’s willingness to support accommodation, where applicable
Guest (applicant) details usually required
- Applicant’s full name and passport details
- Relationship to the host
- Purpose and planned dates of the visit
- Ties to India that show intention to return
Purpose of visit
The letter should clearly and truthfully state the reason for the visit — for example a family function, holiday, or spending time with relatives — along with realistic travel dates.
Accommodation and financial support
It should mention where the guest will stay and, if the host is supporting the trip, how expenses will be handled. Any financial claims must be genuine and supported by real documents.
Documents the host may attach
- Proof of the host’s status abroad
- Proof of address
- Financial documents, where the host is sponsoring
- Any relationship proof, where relevant
What each country asks the host for
Each country publishes its own list. Each row is a short summary of the official page; read the official page before the host writes the letter.
| United Kingdom | If the host supports the visit, GOV.UK’s supporting documents guide asks for proof of what support is given, that the host can afford it, and that the host is legally in the UK. (GOV.UK) Our UK visitor visa page |
|---|---|
| Ireland | Every letter states why the host is inviting the guest, the dates and how they know each other, includes a colour copy of the host’s passport or ID photo page (Irish citizens too), and says the host understands the guest must keep to the visa conditions, not rely on public services and leave on time. If the guest will stay in the host’s home, the letter says so and gives the dates and the full address including the Eircode. A host who is not an Irish, EU/EEA or Swiss citizen adds copies of their Irish Residence Permit and passport permission stamp. If the host pays for part of the trip, add a cost estimate and proof the host can afford it. (Irish Immigration) Our Ireland visitor visa page |
| Germany | An original signed invitation letter with the host’s address and contact details, the dates of the stay and proof of legal residence; a Verpflichtungserklärung (formal obligation letter) is listed “if provided”, so it is not always required. (German Missions in India) Our Schengen guide |
| Portugal | A hotel booking or a termo de responsabilidade (the host’s term of responsibility); a host who is not Portuguese also shows legal status in Portugal. (Portugal visa portal) Our Schengen guide |
| Australia | Sponsored Family stream: the sponsor completes Form 1149 and the family member applying sends a copy with proof of the relationship. Tourist stream: an invitation or support letter can go with the application. (Home Affairs) Our Australia Sponsored Family page |
| New Zealand | Parent and Grandparent Visitor Visa: the child or grandchild sponsors, with the completed Sponsorship Form for Temporary Entry and proof of the relationship. For New Zealand we do not draft the sponsor’s form or letter; we help only in Punjab, with collecting the family’s documents and with travel.
